Microsoft Lists vs Dataverse For Teams

On the face of it, Dataverse For Teams and SharePoint/Microsoft lists are both tools that can be used to store and manage data in a structured way. If you already know how to use SharePoint Lists you are probably wondering, "Why do I need to learn Dataverse For Teams?". Here's why it's definitely worth adding your skillset!

It Is A True Relational Database:

Dataverse for Teams allows relationships to be created for data your Team care about - e.g. from customer to finance tables. Connect to and join 'new' data very quickly. SharePoint lists, on the other hand offers single dimension lists that are not designed for complex inter-relationships.

You Can Create Your Own Data Model:

Dataverse For Teams supports you in creating your own data model to represent the information that matters to the Team. It has a built in 'System User' table which you can expand upon quickly. This makes it more suitable for storing and working with more complex data than SharePoint.

There Are Better Security Options:

Dataverse For Teams includes features for data security. They are not as robust as the full Dataverse but still give you more control than SharePoint. When you need more, you can simply move your data to the full Dataverse to unlock capabilities

(such as field level security).

Enhanced User Experience:

Within the Teams environment, your team can build custom apps, workflows, chatbots, and dashboards by using Microsoft Power Apps, Power Virtual Agents, and Power Automate. A new visual editor also makes it easier to define and populate table data to support the apps your team want to build.

All The Features, Still No Premium Licence:

You can achieve an incredible amount with Dataverse for Teams. Just like with SharePoint Online, you don't need a premium licence like full Dataverse. This makes it a natural step up from simple SharePoint lists when you need more functionality - at no extra cost.

Quickly Migrate To Full Dataverse:

You can develop a data model up to a limit for 2TB to support your teams needs. If you want to test a concept you can do that using Dataverse for Teams. When you need more space, or more out of the box relationships, you can migrate your data to the full Dataverse easily.

"Teams is our hub for work. It 100% forms the (virtual) corridors and office space we work in every day"

Dataverse For Teams vs Dataverse

You'll hear "Dataverse" all over the Power Platform, but what makes Dataverse for Teams different?

Table Features

Dataverse for Teams use tables, just like Dataverse. Whilst there are limitations, such as the ability to manage advanced data types such as customer data, Dataverse for Teams carries many of the same features including file and image support using the same relational storage structure.

Developer Features

Dataverse supports full API access, plug-ins and support for the Power Apps component framework. Dataverse for Teams doesn't support this, but does allow for BI data visualization from your tables

Environments

Dataverse for Teams creates a single environment for each team in Teams where you create data, apps, chatbots, and workflows. Environments support backups, point-in-time restore, and disaster recovery. With Dataverse for Teams, capacity is measured with relational, image, and file data. The 2-GB capacity provided to a team can typically store up to 1 million rows of data.

Security

Collaboration in Teams happens with people inside and outside your organization. In Dataverse for Teams, access is preconfigured with a security role. Dataverse isn't specific to the Teams environment, it delivers more options for admin and user roles. It also includes many other security capabilities.

Integration

Integration with Dataverse for Teams is delivered primarily through connectors. Users with Premium licenses have access to the full set of over 350 standard and premium connectors available. This allows you to bring data into or retrieve data from tables in Dataverse for Teams, execute workflows when data in those tables change, and also use data from tables in workflow logic.
